FREE TEMPLATE · GETTING PAID

Free invoice payment terms template

Most small businesses don't have payment terms. They have a habit — an invoice goes out, and some of them get paid eventually. What's missing is the one sentence on the invoice that says when payment is due and what happens if it isn't.

This template gives you that sentence, along with the terms that matter in practice: how to pay and what to quote as a reference, when a deposit is due, what to do if the customer disputes part of the invoice, and the cancellation charge.

It also includes the line that does the most work — that you reserve the right to charge statutory interest on overdue commercial invoices. That's not aggressive; it's the legal default under the Late Payment of Commercial Debts (Interest) Act 1998, and simply naming it changes how your invoices get treated. Work out the figure it refers to with the late payment interest calculator.

Putting terms on an invoice is one thing; chasing the invoice is another. Our guide to chasing an unpaid invoice without losing the customer has the wording that actually gets a reply.

Standard payment terms

Payment is due within 14 days of the invoice date unless we have agreed otherwise in writing.

Where a deposit has been agreed, it is due before materials are ordered or the start date is confirmed, and it is deducted from the final invoice.

If you believe an invoice is wrong, please contact us within 7 days of the invoice date so we can correct it. Disputed items do not delay payment of the rest of the invoice.

Cancellations with less than 24 hours notice may be charged at 50% of the scheduled work.

Under the Late Payment of Commercial Debts (Interest) Act 1998, we reserve the right to charge statutory interest on overdue commercial invoices at 8% above the Bank of England base rate, together with fixed compensation for the cost of recovering the debt.

Title to any goods supplied remains with us until they have been paid for in full.

This is a starting point, not legal advice. If you work regularly on contracts worth several thousand pounds, have your terms checked by a solicitor before relying on them.
