Terms & Conditions
Last updated: 29 August 2026
These Terms & Conditions ("Terms") govern your access to and use of the FlowSync website, software platform, and related services (the "Service"). By registering an account, subscribing to a plan, or otherwise using the Service, you agree to be bound by these Terms.
If you are using the Service on behalf of a business, you confirm that you have authority to bind that business to these Terms, in which case "you" refers to that business.
1. Definitions
- "FlowSync", "we", "us", "our" — FlowSync is the trading name of Jack Arran Sandison, who operates the Service.
- "You", "your" — the registered business user, their invited staff, and any visitor using the Service.
- "Service" — the FlowSync platform, including the website, dashboard, job management, invoicing, communications, and analytics features.
- "Subscription" — a paid recurring plan giving access to the Service.
- "Customer Data" — data you and your staff enter into the Service, including customer records, jobs, and invoices.
2. Your account
To access most features, you must register for an account and provide accurate, current information. You are responsible for keeping your login credentials secure and for all activity under your account. You may invite staff members to your workspace; you remain responsible for their use of the Service and for ensuring they comply with these Terms.
3. Subscriptions and payments
Paid access to the Service is provided through a recurring Subscription billed via Base44 Payments (powered by Wix). By subscribing, you agree to the fees, billing cycle, and currency presented at checkout. Payments are processed by our payment provider; we do not store your full card details.
- Subscriptions renew automatically until cancelled. You can cancel at any time from your account or by contacting us; cancellation takes effect at the end of the current billing period.
- If a payment fails, we may retry it or suspend access until payment is received.
- Fees are exclusive of applicable taxes, which are added where required by law.
- We may change our fees with reasonable notice; any change takes effect from your next renewal after notice.
4. Acceptable use
You agree not to:
- Use the Service for any unlawful, fraudulent, or abusive purpose.
- Enter personal data into the Service that you do not have a lawful right or basis to process.
- Send unsolicited or misleading communications to customers through the Service.
- Attempt to access, disrupt, or reverse-engineer systems, data, or accounts that do not belong to you.
- Resell, sublicense, or rebrand the Service without our written consent.
- Introduce viruses, malware, or any harmful code to the Service.
We may suspend or terminate access if we reasonably believe you have breached these Terms or where required to protect the Service or other users.
5. Customer data and your responsibilities
You own your Customer Data. You are responsible for ensuring that you have all necessary rights, consents, and lawful bases (under UK GDPR and any other applicable law) to enter and process the personal data of your customers and staff through the Service. FlowSync acts as your data processor for Customer Data you enter, in line with our Privacy Policy.
You are responsible for the accuracy of Customer Data and for complying with any data subject requests relating to individuals whose data you have entered. We may process Customer Data on your behalf to provide and improve the Service, including sending automated communications you configure.
6. Automated communications
The Service can send automated emails and (where enabled) SMS messages to your customers — including booking confirmations, reminders, invoices, review requests, and follow-ups. You are responsible for ensuring you have consent or another lawful basis to send these communications and for complying with applicable marketing and electronic communications laws (including PECR).
7. Intellectual property
All rights in the Service — including software, design, branding, and content — are owned by FlowSync or its licensors and are protected by intellectual property laws. These Terms grant you a limited, non-exclusive, non-transferable right to use the Service for the duration of your Subscription, subject to your compliance with these Terms.
You retain all rights in your Customer Data. By entering Customer Data, you grant FlowSync a limited licence to process it solely as needed to provide the Service to you.
8. Service availability and support
We aim to provide the Service with high availability but do not guarantee uninterrupted access. We may suspend the Service for maintenance, updates, or security reasons, and will use reasonable efforts to minimise disruption. We may modify or discontinue features with reasonable notice.
9. Limitation of liability
To the maximum extent permitted by law, FlowSync shall not be liable for any indirect, incidental, special, or consequential damages arising from your use of the Service, including loss of profits, revenue, data, or business opportunity. Our total aggregate liability for any claim arising from these Terms or the Service is limited to the fees you have paid us in the 12 months preceding the claim.
Nothing in these Terms excludes or limits liability that cannot be excluded under applicable law, such as liability for death or personal injury caused by negligence, or for fraud or fraudulent misrepresentation.
10. Termination
You may cancel your Subscription at any time. We may suspend or terminate your access if you breach these Terms, if your account is inactive for an extended period, or if we discontinue the Service. On termination, your right to use the Service ends. You should export any Customer Data you need before termination; we may delete Customer Data after a reasonable period following closure.
11. Changes to these Terms
We may update these Terms from time to time. We will publish the updated version on this page with a revised "Last updated" date. Material changes will be notified through the Service or by email. Continued use of the Service after changes take effect constitutes acceptance of the updated Terms.
12. Governing law and disputes
These Terms are governed by the laws of England and Wales. Any dispute arising from or connected to these Terms or the Service shall be subject to the exclusive jurisdiction of the courts of England and Wales, except that you may bring a claim in your local courts if you are a consumer.
13. Contact us
